Privacy Policy

WGO SEO, operated by WGO Digital Media LLC. Last updated 26 October 2026.

This policy explains what WGO SEO collects, why, and what we do and do not do with it. It is specific about the Google, YouTube and Meta data the product touches.

Who we are

WGO SEO is operated by WGO Digital Media LLC.

What the service does

WGO SEO measures how a dental or orthodontic practice appears in Google search results. It runs Google Maps searches from points around a practice's offices, checks organic search positions, crawls the practice's own website, and reads publicly available information about competing practices. It reports what it found and what appears to be causing it. Optional tools help a practice reply to its Google reviews and publish posts and videos to its own social media and YouTube accounts.

Information we collect

Information you give us

• Your email address, and your name if you provide one.
• The practices you add: business name, website, office addresses, Google Business Profile identifiers, and any keywords you choose to track.
• Posts, captions, photos and videos you upload to schedule.
• Billing information, which is collected and stored by Stripe. We never see or store your full card number.

Information we collect for you

• Search result positions, map rankings, competitor listings, backlink counts and website crawl results, gathered from publicly available sources through our data provider.
• Basic usage records: when you signed in, when a report ran, how many reports it used.

Information stored on your device

The app keeps your sign-in session in your browser's local storage so you stay signed in. We do not use advertising or tracking cookies in the app.

Google user data

Connecting any Google service is optional. WGO SEO's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

What we request and why

• Google Search Console, read only (webmasters.readonly): clicks, impressions, click-through rate and average position for the website you are analysing.
• Google Analytics, read only (analytics.readonly): aggregate traffic figures for the same website.
• Google Business Profile (business.manage): to read the reviews on the profiles you connect and post the replies you approve or have set to send. We do not change any other part of your profile.
• YouTube (youtube.upload, youtube.readonly, youtube.force-ssl): see the YouTube section below.

What we do with it

• Data is used only to provide the features you turned on, for the account that connected it.
• We do not sell it, rent it, or share it with advertisers or data brokers.
• We do not use it to train machine learning or artificial intelligence models, whether our own or anyone else's.
• No human at WGO Digital Media LLC reads your Google data, except where you explicitly ask us to help with a support problem, where the law requires it, or where it is necessary to investigate a security incident.

YouTube

WGO SEO uses YouTube API Services. If you connect a YouTube channel, WGO SEO can upload the videos you schedule and approve to that channel at the time you choose, set their title, description and tags, read the channel's name and public statistics (subscribers, views and number of videos), and, where you turn it on, read and reply to comments on your videos.

• By connecting a YouTube channel you agree to be bound by the YouTube Terms of Service.
• Google's handling of your information is described in the Google Privacy Policy.
• What we store: an encrypted refresh token, the channel ID, name and handle, the channel statistics above (refreshed at least every six hours; we never keep statistics more than 30 days without refreshing them), and the IDs and links of videos uploaded through WGO SEO. Videos you upload are kept on our servers only until they are posted and then deleted within 30 days.
• What we share: nothing. YouTube data is not shared with any third party.
• Removing access: press Disconnect YouTube in WGO SEO, which deletes the token and channel data from our systems immediately, or revoke access at any time from your Google security settings at security.google.com/settings/security/permissions.

Instagram and Facebook

For accounts connected through Meta, WGO SEO publishes the posts, reels and stories you schedule and approve to the Instagram account and Facebook Page you connect, posts first comments and replies you approve, and reads post and account insights to show results. We store an encrypted access token and the IDs and links of posts made through WGO SEO. We do not sell or share this data. You can disconnect in WGO SEO or remove the app in your Meta Business Settings or Instagram settings at any time.

What we store and for how long

• Account and practice details: while your account is open.
• Reports and stored runs: while your account is open, because comparing against previous runs is the point of storing them.
• Google, YouTube and Meta tokens: until you disconnect, or your account closes. Disconnecting deletes them immediately.
• Uploaded photos and videos for posts: deleted within 30 days after they are posted.
• Billing records: as long as tax and accounting law requires, typically seven years.

When you close your account we delete your account data, practices, reports and tokens within 30 days, except records we are legally required to keep.

Location Analyzer

The free Location Analyzer at app.whitegloveorthodontist.com/location-analyzer asks for your name and email, and optionally your practice name and phone number, before it scores a site. We use them to email you the report, to keep a record of the sites you checked, and to follow up about your site or White Glove Orthodontist services. We also store the address you entered, your answers about the practice you plan, and the report. Every follow-up email has an unsubscribe link, and unsubscribing stops follow-up emails; reports you ask for still arrive. We do not sell your information. To have your details deleted, email hello@whitegloveorthodontist.com.

The report is built from public data (US Census, Google Maps listings, Mapbox maps and drive times, and published traffic counts) and is general information only, not legal, financial or real estate advice.

Information about other businesses

Reports include information about practices that compete with yours: their Google listing, review counts, ratings, ranking positions and publicly visible website details. All of it comes from public search results. We do not access any private account belonging to those businesses, and we do not contact them.

How we share information

We do not sell your information. We share it only with the service providers needed to run the product:

• DataForSEO receives the domains, keywords and business identifiers needed to gather search data. It does not receive your Google, YouTube or Meta account data.
• Stripe handles payments and receives your billing details directly.
• Anthropic processes text to draft review replies and post captions when you use those features. It does not receive your account tokens.
• Our hosting provider stores the application and its database.

We may also disclose information if required by law, or to protect the rights and safety of our users or the public.

Security

Data is encrypted in transit, and access tokens are encrypted at rest. Access to production systems is limited to people who need it to operate the service. No system is perfectly secure, and we will tell you promptly if a breach affects your information.

Your rights

You can ask us to show you what we hold about you, correct it, delete it, or send you a copy. Write to accounts@whitegloveorthodontist.com and we will respond within 30 days. California residents have specific rights under the CCPA, including the right to know and the right to delete. We do not sell personal information as that term is defined under the CCPA.

Children

WGO SEO is a business tool and is not directed at anyone under 18. We do not knowingly collect information from children.

Changes

If we change this policy in a way that materially affects how we handle your information, we will email you before it takes effect. The date at the top always reflects the current version.
